Submission Terms and Conditions

Effective Date: April 4, 2025

1. AGREEMENT TO TERMS

By submitting content to the Piney Woods Film Festival (PWFF), you confirm your acceptance of, and agreement to be bound by, all PWFF terms and conditions set forth in this document.

2. DEFINITION OF “CONTENT”

“Content” refers to all materials submitted to PWFF, including but not limited to films, videos, audio, still images, supporting promotional materials, and related digital files.

3. SUBMISSION GUIDELINES

  • All content must meet PWFF’s format, compatibility, and operational requirements.

  • Submissions must be made via the FilmFreeway portal.

  • A working streaming link must be provided at the time of submission.

  • The streaming link must remain active through at least March 1, 2025.

  • All entrants must register before submitting content.

  • Confirmation of submission will be sent via FilmFreeway. If not received within 48 hours, please contact submission@pineywoodsfilmfestival.com.

4. SCREENING FORMAT

If selected, your film must be provided in HD 1920 x 1080 (H.264 MPEG-4 format) by Friday, February 10, 2025. Submissions can be made downloadable via Vimeo or FilmFreeway.

5. AGE REQUIREMENTS

  • Under 13: A parent/guardian must complete and sign the registration.

  • Ages 13–18: Parental consent is required for submission.

6. SUBMISSION QUALITY AND REVISIONS

  • No rough assemblies will be accepted.

  • Work-in-progress films are allowed (e.g., temporary sound or color).

  • Only the first version submitted will be reviewed.

  • Updates are not permitted after February 26, 2025, unless approved by PWFF.

7. CONTENT RESPONSIBILITY AND RESTRICTIONS

  • You are solely responsible for your submission and all its elements.

  • Do not submit content that is offensive, defamatory, or infringing on copyrights or trademarks.

  • Submissions for commercial/business purposes that conflict with PWFF sponsorship will be rejected.

8. NOTICES AND COPYRIGHT CLAIMS

9. RIGHTS GRANTED TO PWFF

By submitting content, you grant PWFF a non-exclusive, worldwide, perpetual, royalty-free license to:

  • Promote your content online/offline in connection with PWFF.

  • Compress, transcode, and display your film at PWFF events or partner showcases.

  • Include clips or elements of your film in promotional reels, ads, and campaigns.

This does not transfer ownership of your content to PWFF.

10. OWNERSHIP AND REPRESENTATIONS

  • You must own all rights or have appropriate authorization to submit your content.

  • PWFF claims no ownership over submitted content.

  • If submission leads to a deal or opportunity, PWFF takes no financial share of that agreement.

11. FINANCIAL CONSIDERATION

PWFF retains the right to monetize the event through ticket sales, advertising, and sponsorship, even if tied to your content.

12. INDEMNIFICATION

You agree to indemnify and hold harmless PWFF against any third-party claims arising from:

  • Your content submission

  • PWFF’s use of your content

  • Any breach of these terms

13. GENERAL TERMS

This Agreement, in combination with PWFF’s online Terms of Use and Privacy Policy, forms the complete understanding between you and PWFF.
